Event recap video: agenda to speaker names and stats
A good event recap video runs 1–3 minutes (shorter for social), opens with the event name and date, shows the energy (arrivals, crowd, speakers, reactions, networking), names each featured speaker with a lower third, adds a few headline numbers (attendees, speakers, countries), and ends with a thank-you to sponsors and the date of next year's event. Most of that text already exists in your agenda. Here's what to film, how to structure it, and a real recap built from an agenda in minutes.
29 conference clips and an agenda became a recap with speaker names and stats. Sped up. Phone-size version.
Structure that works
| Section | Length | Content |
|---|---|---|
| Open | 3–5 s | Event name, date, city |
| Arrival and energy | 10–15 s | Registration, crowd, venue |
| Speakers | 20–60 s | Best lines or stage moments, each with a lower third |
| Numbers | 5–10 s | "1,200 attendees · 38 speakers · 14 countries" |
| People | 10–20 s | Networking, reactions, applause |
| Close | 5 s | Thank-you, sponsors, next year's date and URL |
What to film
- Signage and the venue before doors open.
- Registration and arrivals.
- Every keynote and featured speaker: a wide and a close shot.
- The audience reacting and applauding.
- Networking, coffee breaks, sponsor booths.
- The team, the after-party, the closing moment.

What we made from an agenda
We uploaded 29 clips from a one-day conference (about 6½ minutes of footage) and pasted the agenda:
NORTHWIND SUMMIT 2026 · March 12 · Austin, TX · 1,200 attendees · 38 speakers · 3 tracks · 14 countries
09:00 Opening keynote: "Building for the next billion customers" · Dana Okafor, CEO, Northwind
10:30 Talk: "Shipping weekly at scale" · James Carter, VP Engineering, Fieldstone …
Make a 45-second recap from these clips. Use each clip only once and cut to the beat of an energetic track. Open with "Northwind Summit 2026" and the date. When a speaker is on stage, put a lower third with a speaker name and talk title from the agenda. Add stat cards with "1,200 attendees", "38 speakers" and "14 countries" over crowd and networking shots. Make the typography feel like a premium tech conference: bold, clean sans-serif headlines with small, widely spaced labels. Design a simple Northwind logo (a white wordmark with a small north-pointing arrow) and keep it small in the top-right corner the whole time. Put the "1,200 attendees" card over the fullest crowd shot. End on "See you in 2027 · northwindsummit.com" with a sponsor line underneath: "Brightline · Fieldstone · Lumen · Cobalt Ventures" in small, widely spaced capitals.
The first cut took a few minutes: a driving library track ("Tech Modern / Launch Circuit") with cuts on its downbeats, lower thirds for Dana Okafor, James Carter, Priya Raman and Marcus Lee with their session, title and company from the agenda, stat cards for 1,200 attendees, 38 speakers and 14 countries, the Northwind wordmark in the corner throughout, and the end card with the sponsors named. Nothing in the footage says who is who, so the names go on whoever is on stage; check each lower third against the real speaker before you publish.
The vertical version
"Make a 30-second vertical version for Instagram Reels and LinkedIn with the same lower thirds and stats." Then "frame each clip on its main person, no black bars" to fix shots the first pass had centered.
FAQ
How long should an event recap video be?
Usually 1–3 minutes for the main recap; 30–60 seconds for social. A 45–90 second cut works for most single-day events.
When should I publish the recap?
As soon as possible, ideally within 24–48 hours while attendees are still posting. Same-day highlights →
Do I need permission to film attendees?
Follow your organization's policy and local law. Many events include a filming notice in registration terms and on signage, and avoid featuring people who opt out.
Can I use speakers' slides in the recap?
Only with permission; slides can contain third-party content. Wide shots where slides are incidental are usually fine with speaker consent.
